How to Convert MCA Leads
Most MCA leads are lost after they are bought, not before. This playbook covers the first five minutes, the first call, the paperwork and the 30 days that follow.
Get MCA leads
Step 1 of 3Three quick steps. We reply the same business day.
To convert MCA leads, call within minutes of delivery, qualify the merchant on revenue, time in business and existing advances before pitching, collect bank statements, a signed application, ID and a voided check on the first call, then follow a 30-day call, text and email cadence within TCPA and Do Not Call rules. LoanLeads.io delivers leads in real time to support that speed.
How fast should you respond to an MCA lead?
Respond within five minutes when you can. A merchant who just asked about working capital is thinking about it right now, and may be filling out other forms in the next tab.
The research backs this up. A study by Oldroyd, McElheran and Elkington, published in Harvard Business Review in 2011, audited 2,241 US companies by submitting web leads and timing the replies. Its central finding, as widely reported, is that companies contacting a lead within an hour were nearly seven times as likely to reach a meaningful conversation with a decision maker as those that waited longer, and that most companies responded far too slowly.
To act on it:
- Deliver leads straight into your CRM by API or webhook, not by email digest.
- Assign each lead automatically, so no one has to claim it.
- Send an instant text and email introducing the rep by name while the call is being placed.
- If the first call goes to voicemail, call again within a few minutes; a second attempt soon after the first often reaches a merchant who could not pick up.
Speed matters most with real-time MCA leads. Aged leads reward persistence more than raw speed.
How should you structure the first call?
Structure the first call in six parts and keep it under ten minutes. The goal is not to close; it is to qualify the merchant and get the application started before you hang up.
| Part | Goal | Sample line |
|---|---|---|
| 1. Permission | Confirm identity and time | "Hi [first name], this is [your name] with [company]. You asked about working capital a few minutes ago. Is now a good time?" |
| 2. Purpose | Learn what the money is for | "What would you use the funds for, and when do you need them?" |
| 3. Profile | Check the merchant against your box | "Roughly what does the business deposit in a typical month? How long have you been open?" |
| 4. Positions | Find existing advances | "Do you have any advances or business financing you are paying on right now?" |
| 5. Plain explanation | Set accurate expectations | "This is an advance against your future sales, not a loan. Funders review your bank statements to make an offer." |
| 6. Paperwork | Start the file now | "I am texting you a short application and a secure upload link. Can you send your statements today?" |
Never promise approval, a specific amount or a rate before a funder has reviewed the file. If the merchant clearly falls outside every funder's box, say so politely and end the call.
What documents should you request from an MCA merchant?
Request four core items: recent business bank statements, a signed application, a government-issued photo ID and a voided business check. Most funders cannot make an offer without them.
- Business bank statements. Usually the most recent several months, as your funders specify. They show deposits, deposit count, average daily balance, negative days and any existing remittances, which is the core of bank statement underwriting.
- Signed application. Business and owner details, plus authorization for the funder to review the file.
- Photo ID. Confirms the owner's identity for the funder's verification process.
- Voided check. Confirms the account that will receive funds and, under many structures, from which remittances are collected.
Larger requests may also need processing statements, tax returns or a balance sheet. Ask for everything in one message with a single upload link. Each extra round trip is another chance for the merchant to go quiet. If any term on the file is unfamiliar, our MCA glossary defines it.
What does a 30-day MCA follow-up cadence look like?
A 30-day cadence mixes calls, texts and emails, heavy in the first three days and lighter after. Adjust to your consent records and to state rules, and stop the moment a merchant opts out.
| Day | Touches | Focus |
|---|---|---|
| 0 | Call within minutes, second call shortly after if no answer, intro text, intro email | Reach the merchant while the inquiry is fresh |
| 1 | Two calls at different times of day, one text | Try morning and late afternoon |
| 2 | One call, one email with the application link | Make the next step easy |
| 3 | One call, one text | Short check-in on documents |
| 5 | One call, one email | Answer a common question, such as how remittance works |
| 7 | One call, one text | Ask whether the need or timing has changed |
| 10 | One email | Short note on what you need to get offers |
| 14 | One call, one text | Fresh attempt at a different time of day |
| 21 | One call, one email | Check whether they found funding elsewhere |
| 30 | One call, one email | Close the loop and offer to reconnect later |
After day 30, move unconverted merchants to a lighter long-term schedule, subject to consent and opt-outs. Merchants who were not ready this month may be ready next quarter. That is why aged MCA leads can still fund deals.
How do you handle common MCA objections?
Most objections are requests for information, not refusals. Answer the real question underneath.
| Objection | What it usually means | How to respond |
|---|---|---|
| "It costs too much." | They are comparing it to a bank loan rate | Explain the total cost in dollars, how remittance works and how it compares with the cost of missing the opportunity they need funds for. |
| "I need to think about it." | Something is unclear or they are comparing offers | Ask what they want to compare, and offer to walk through each offer's terms side by side. |
| "Just email me the info." | They are busy right now | Send it, then book a specific time to talk instead of leaving it open. |
| "I already have an advance." | They may be in a position your funders take, or not | Ask the balance and funder, then check your funder matrix before answering. |
| "I don't want to send bank statements." | Privacy or trust concern | Explain who sees the statements, why funders need them, and use a secure upload link. |
| "My bank might lend to me." | They have not tried yet | Encourage them to check. If the bank says no, or is slower than their need, you are there. |
What compliance guardrails apply to MCA follow-up?
Every touch in your cadence must respect federal and state calling, texting and email rules. This is a general summary as of 2026, not legal advice. Confirm current requirements with counsel.
- Calling hours. FCC rules bar telephone solicitations to residential numbers before 8 a.m. or after 9 p.m., the called party's local time. Some states are stricter. Florida's telemarketing statute, for example, sets an 8 p.m. cutoff for covered calls and limits covered solicitation calls to three per 24 hours on the same subject.
- Do Not Call. The Telemarketing Sales Rule requires covered sellers and telemarketers to use a version of the National Do Not Call Registry obtained no more than 31 days before a call. Keep an internal do-not-call list too.
- Consent and revocation. Use the consent record captured with the lead. Under FCC rules effective April 11, 2025, people may revoke consent to robocalls and robotexts by any reasonable means, and requests must be honored within 10 business days.
- Texting. US carriers require businesses texting from standard 10-digit numbers to register through A2P 10DLC. Treat replies like STOP, QUIT, CANCEL or UNSUBSCRIBE as opt-outs.
- Email. CAN-SPAM requires accurate headers and subject lines, a valid physical postal address and a working opt-out honored within 10 business days.
Every LoanLeads.io lead arrives with TCPA consent captured at the form, and our process is aligned with CCPA and CAN-SPAM. Read more on our TCPA consent and privacy page.
Which metrics should you track to improve MCA conversion?
Track five rates from lead to funding, by lead order, rep, lead type, state and industry. We do not publish benchmark rates because they vary widely by offer and team; your own trend line is the benchmark that matters.
| Metric | Formula | What it tells you |
|---|---|---|
| Speed to lead | Minutes from delivery to first call attempt | Whether your routing and reps are fast enough |
| Contact rate | Merchants reached by phone / leads bought | Lead data quality and your dialing persistence |
| Application rate | Signed applications / leads bought | First-call quality and intent |
| Offer rate | Files with at least one offer / files submitted | How well your filters and funder matrix match |
| Funded rate | Funded deals / leads bought | The bottom line for the order |
| Cost per funded deal | Lead spend / funded deals | Whether to reorder, change filters or switch lead type |
When a rate drops, look at the stage just before it. A falling application rate usually points to the first call; a falling offer rate points to filters or funder fit. Our MCA lead buying guide covers how to use these numbers to scale an order.

Buyers who came back for more
Two real LoanLeads.io buyers, in their own words.
“Yeah, I'm really impressed with the aged.”
“My team is very happy with your leads. So that's why I want to personally call and inform you that. We'll do the same mix, 50-50, but we'll just double the volume. I'm happy. My team is happy. They don't complain about leads.”
Questions buyers ask
What is speed to lead?
Speed to lead is the time between a lead arriving and your first attempt to contact it. For MCA leads it is often the single biggest controllable factor in contact rate. Research published in Harvard Business Review in 2011 found that most companies responded to web leads far too slowly to make the most of them.
How many times should I call an MCA lead?
There is no single right number, but one or two calls is rarely enough. A structured cadence spreads several calls across different times of day in the first week, then lighter touches through day 30. Stay within calling hours, any state frequency limits and the consent on the lead, and stop on any opt-out.
What documents does a merchant need for an MCA?
Most funders ask for recent business bank statements, a signed application, a government-issued photo ID and a voided business check. Larger advances may require processing statements, tax returns or financial statements. Collecting everything in one request, through a single secure upload link, shortens the time to an offer.
Can I text MCA leads?
Often yes, if the lead's consent covers texts and you follow the rules. Register your 10-digit number through A2P 10DLC, identify your business, keep messages relevant and honor opt-out replies such as STOP immediately. Texting rules change, so confirm your program with counsel and your messaging provider.
What are TCPA quiet hours?
Under FCC rules, telephone solicitations to residential numbers are barred before 8 a.m. and after 9 p.m. in the called party's local time. Some states set tighter windows; Florida's statute uses an 8 p.m. cutoff for covered calls. Use the merchant's time zone, not yours, when scheduling outreach.
How do I handle a merchant who says the advance is too expensive?
Explain the cost in total dollars rather than as a rate, show how remittance works against their sales, and connect it to the purpose of the funds. If a lower-cost option such as a bank loan is realistic for them, say so. Honest answers build trust and referrals.
What conversion rate should I expect from MCA leads?
Conversion varies widely by lead type, filters, team skill and follow-up, so any single number would be misleading. Track contact, application, offer and funded rates on your own orders and improve the weakest stage first. A small test order gives you a baseline before you scale.
Should I work aged MCA leads differently from real-time leads?
Yes. Real-time leads reward instant response because intent is fresh. Aged leads reward persistence and a good opening line that acknowledges time has passed, such as asking whether the merchant still needs capital or has a new need. Many aged merchants were simply not ready when they first inquired.
Does LoanLeads.io help with lead delivery speed?
Yes. LoanLeads.io delivers leads in real time by API, webhook or posting directly into your CRM, or to an inbox. Pair that delivery with automatic assignment and instant alerts so your reps can call within minutes. Book a call to set up delivery for your campaign.
