How Many MCA Leads Does It Take to Fund a Deal?

A plain formula for how many MCA leads it takes to fund one deal, worked through with LoanLeads.io's published prices and clearly hypothetical funnel rates.

Short answer

How many MCA leads it takes to fund a deal depends on four rates you can measure: how many leads you reach, how many qualify, how many submit statements and how many fund. Leads per funded deal equals one divided by those four rates multiplied together. LoanLeads.io publishes its prices, from $60 exclusive real-time leads to aged records from $0.20, so you can run this math before you order.

How many MCA leads does it take to fund a deal?

It takes as many leads as your funnel needs to produce one funded file, and that number changes with lead type, filters, speed and offer. A shop that dials real-time exclusive leads within minutes might need a few dozen. A shop working aged records with a light cadence might need several hundred. Both can be profitable.

Part of the spread comes from who fills out an MCA form in the first place. In the Federal Reserve Banks' 2025 Small Business Credit Survey, 8% of employer firms applied for a merchant cash advance in the prior 12 months, against 26% for a loan and 24% for a line of credit. Some merchants who ask about an advance fit another product better, which is why your qualify rate deserves its own line in the math.

Any provider who quotes you a fixed "leads per deal" number is guessing about a funnel they do not run. What you can do is build the number from your own rates and test it. The rest of this page shows how, using LoanLeads.io's published prices and funnel rates that are hypothetical. We picked round numbers to make the arithmetic easy to follow. They are not our data, not an industry benchmark and not a forecast.

What is the formula for leads per funded deal?

Leads per funded deal is one divided by the product of your stage conversion rates. Break your funnel into four stages and measure each one separately:

  1. Contact rate: the share of leads your reps actually speak with.
  2. Qualify rate: the share of contacted merchants who fit a funder's box on revenue, time in business, credit and industry.
  3. Submit rate: the share of qualified merchants who send an application and bank statements.
  4. Fund rate: the share of submitted files that close and fund.

Multiply the four rates to get your overall lead-to-funded rate, then divide one by it. If the product is 2%, you need 50 leads per funded deal. Multiply that by your all-in price per lead and you have your lead cost per funded deal. Remember the 4% processing fee on LoanLeads.io orders when you set the price per lead.

The value of splitting the funnel is diagnosis. If your overall number disappoints, the stage rates tell you where. A low contact rate points at speed or data. A low qualify rate points at filters. A low submit rate points at the pitch, and a low fund rate points at underwriting fit.

Hypothetical example: real-time exclusive vs shared leads

Here is the formula applied to two real-time options at real prices. The funnel rates are invented for illustration. We assumed a shared lead is reached a little less often and submits a little less often, because other buyers may call the same merchant later.

Hypothetical inputExclusive, $60Shared slot 1, $35
Price with 4% fee$62.40$36.40

Lead cost per funded dealAbout $2,080About $2,022

In this made-up case the two options land within about $60 of each other per funded deal, even though one costs $25 more per lead. The shared option asks your reps to work about 23 more leads per deal, so the real tie-breaker is labor. Your own rates could tilt the result either way, which is why our comparison of exclusive and shared MCA leads recommends testing both.

Hypothetical example: aged MCA leads

Aged leads flip the math: the price per record falls to cents, and the number of records per deal climbs into the hundreds. Using the $0.40 tier (merchants reporting $40K or more in monthly revenue, under 6 months old) and invented rates:

Hypothetical inputAged, $0.40 tier
Price with 4% fee$0.416 per record
Contact rate (assumed)10%
Qualify rate (assumed)25%
Submit rate (assumed)30%
Fund rate (assumed)20%
Records per funded dealAbout 667
Lead cost per funded dealAbout $277

The lead cost looks tiny, but the hidden cost is dialing. If each record averages two attempts, 667 records mean roughly 1,300 dials per deal. A minimum order of 5,000 records at these assumed rates would produce about seven or eight funded deals, and only if your team actually works all 5,000. Add rep time to the lead cost before you compare aged with real-time.

Aged results in the real world can surprise in both directions. Edward, an MCA funder and LoanLeads.io client, closed five funded deals off one aged-lead order. The largest was $600,000, another was $52,000, and the total came in just shy of $1 million. In his words:

"Yeah, I'm really impressed with the aged."

That is one buyer's outcome, not a rate you should plug into the formula.

How do you work backward from your margin?

Work backward by deciding the most you can spend to acquire one funded deal, then dividing by your price per lead. The answer is the maximum number of leads a deal can take before it stops making sense.

Say, hypothetically, that after paying reps you can afford $3,000 in lead cost per funded deal. At $62.40 per exclusive lead, that buys about 48 leads, so you need an overall lead-to-funded rate of about 2.1% to break even. At $36.40 per shared slot 1 lead, the same budget buys about 82 leads, and the break-even rate drops to about 1.2%. At $0.416 per aged record, it buys over 7,000 records before labor.

This turns a vague question ("are these leads good?") into a measurable one ("are we above 2.1%?"). It also tells you which lead type gives your team the most room for error. For more on the number that matters most, read our guide to cost per funded deal in MCA.

How big should a test order be?

A test order should be large enough that luck does not decide the verdict. Funded deals are rare events, and rare events swing widely in small samples.

Take the hypothetical 3% exclusive funnel above. A 150-lead pack would produce 4.5 funded deals on average. But by basic probability, there is roughly a one in six chance of getting two or fewer and roughly a one in six chance of getting seven or more, from leads of identical quality. One weak or strong pack proves little on its own.

  • Read the early stages first. Contact and submit rates stabilize long before funded counts do, so judge a first pack on them.
  • Keep the process constant. Same reps, same cadence, same offer, or you are testing your team instead of the leads.
  • Give deals time to close. Files submitted in week three may fund in week five.
  • Scale in steps. Move to 500 or 1,000 leads once the early stages look healthy. Our guide to scaling from 150 to 1,000 leads covers that step.

Ready to run the numbers on your own funnel?

The only rates that matter are yours. Start a measured test: order MCA leads online in a pack of 150 real-time leads ($60 exclusive, $35, $25 or $15 shared) or 5,000 aged records from $0.20, then track all four stages for 30 days.

If you want help choosing filters or a lead type for your margins, book a call with LoanLeads.io and bring your current numbers.

FAQ

Questions on this topic

Is there an industry average for MCA leads per funded deal?

Not one worth relying on. Published figures rarely say which lead type, filters, exclusivity or follow-up produced them, and those factors change the answer dramatically. Build your own number from contact, qualify, submit and fund rates, and compare sources on the same team over the same period.

Why are the funnel rates on this page hypothetical?

LoanLeads.io does not publish contact, qualify or funding rates, because they depend mostly on how each buyer works the leads. We used round, invented rates so the arithmetic is easy to follow. Treat them as a template and replace every assumption with what your own CRM shows after a test order.

Does the 4% processing fee change the math?

Yes, slightly. LoanLeads.io orders are paid upfront with a 4% processing fee, so a $60 exclusive lead costs $62.40 all in and a $0.40 aged record costs $0.416. Always use the all-in price per lead when you calculate lead cost per funded deal, or your numbers will look better than your bank statement.

How do pack discounts affect leads per deal?

They do not change how many leads a deal takes, but they lower what each deal costs. Real-time packs of 500 are 20% off and packs of 1,000 are 30% off, so an exclusive lead falls from $60 to $48 or $42. At the same funnel rates, your lead cost per funded deal falls by the same percentage.

Should I count labor in cost per funded deal?

You should, especially when comparing aged and real-time leads. A cheap record that needs many more dials can cost more in rep time than it saves in lead price. Estimate dials per funded deal and multiply by your cost per dial hour, then add it to lead cost before choosing a lead type.

Do filters raise or lower the number of leads per deal?

Good filters usually lower it, because they remove merchants your funders would decline anyway, which lifts your qualify rate. They can also raise the price per lead and shrink supply. Add filters that match real underwriting rejections, such as a revenue floor or excluded industries, and leave out filters that only narrow volume without improving fit.

How long should I track a test order before deciding?

Track early stages for the first two weeks and funded deals for at least 30 to 45 days, since files submitted late in a test can take time to close. Decide on volume using contact and submit rates first, then confirm with funded counts as they come in.
